The Linked accounts tab on Settings → Users & permissions shows each user’s account in HubSpot and in Slack. Admins see it. The same person has a Beacon sign-in, a Slack account and often a HubSpot user. Linking tells Beacon which account in each tool belongs to which Beacon user, so that what Beacon sends to a person, or shows about the deals they own, lands on the right one. Linking gives no access. It changes nothing about what anyone can see in Beacon. That is set by their role on the Company users tab — see Add and manage users.

What the tab shows

Until HubSpot or Slack is connected, the tab says so and points you to Connections. Once a tool is connected, there is one row per user: The same information appears under In your tools when you open a user’s row on the Company users tab. Beacon links an account on its own only when the tool confirms an email address and it is the same address as the Beacon user’s. Everything weaker waits for you and reads Needs confirmation — for example, a match on the name alone. Open the row to see why Beacon thinks it is them, then choose:
  • Confirm — the account is linked.
  • Not them — Beacon will not suggest that account for that user again.
HubSpot gives Beacon each HubSpot user’s email address, so most HubSpot accounts link on their own. Slack links on its own only when your Slack connection shares email addresses with Beacon. When it does not, Slack accounts are matched by name and wait for your confirmation.

Found in your tools

Below the users, Found in your tools lists people Beacon found in Slack or HubSpot who are not Beacon users. Being listed gives them no access. For Slack, bots, guests and deactivated accounts are left out. Open someone to choose what to do:
  • Invite as user — shown when the tool gave an email address. It opens Invite user with the address filled in.
  • This account belongs to… — for an account Beacon could not match by itself. The panel says why it is not linked. Choose the user it belongs to, then Link to this user.
  • Ignore — the person stays off this list.

When Beacon checks

  • When someone accepts their invitation. Their Slack and HubSpot accounts are matched then.
  • After you connect or reconnect a tool. Beacon reads it the next time an admin opens Users & permissions, and the tab says what it found — for example, Slack read just now.
  • Whenever you choose Look again in your tools.
There is no automatic daily check.

Inviting someone Beacon has already found

When you type an address into Invite user that matches someone Beacon found in your tools, the form tells you what will happen before you send it:
  • linked when they accept, because the address matches — the tool confirmed that address.
  • proposed to you when they accept — the tool did not confirm it, so you will be asked.

What Beacon does in your tools

Beacon only reads the list of people in Slack and HubSpot. It never adds, changes or removes anyone there. Confirming, rejecting or ignoring a match changes nothing in the tool. If an account is linked to the wrong user, tell your contact at Beacon.
